Job description

Act as the Project Manager’s on-site deputy, providing day-to-day leadership, coordination, and administrative oversight of project activities in Iraq. The role serves as the primary interface between the site team and the Abu Dhabi office, ensuring smooth execution through effective manpower coordination, logistics support, stakeholder alignment, and operational follow-up.

Key Responsibilities

Project Coordination & Site Oversight

Support the Project Manager in managing daily site activities and priorities.
Act as the main coordination point for site execution, ensuring alignment with project objectives, schedule, and site constraints.
Monitor ongoing construction and site activities, escalating issues, risks, or delays to the Project Manager.
Coordinate interfaces between construction, HSE, logistics, subcontractors, and client stakeholders.

Interface with Abu Dhabi Office

Serve as the primary communication link between the Iraq site team and Abu Dhabi-based project, engineering, and management teams.
Relay site manpower needs, logistics requirements, and operational updates in a timely manner.
Support implementation of instructions, decisions, and priorities issued by the Project Manager.

Manpower & Resource Coordination

Coordinate mobilization and demobilization of project personnel.
Maintain site manpower plans, rotations, attendance records, and accommodation allocations.
Support onboarding of new personnel (site access, inductions, camp arrangements).
Liaise with HR and project support teams on manpower planning and site staffing needs.

Administrative & Logistics Management

Oversee site administrative activities and ensure smooth daily operations.
Coordinate travel, visas, transport, accommodation, and site access for personnel and visitors.
Support logistics for site movements, vehicle coordination, and general operational needs.
Manage petty cash, expense coordination, and site administrative records as required.

Reporting & Communication

Assist in preparation of daily and weekly site status updates.
Maintain action logs and follow up on assigned tasks and commitments.
Support coordination of site visits, audits, and management walkthroughs.
Leadership & Compliance
Act as the senior site representative in the Project Manager’s absence.
Promote compliance with HSE requirements, site rules, and company procedures.
Support incident reporting, emergency coordination, and issue resolution.

Profile

  • Bachelor’s degree in Engineering, Construction Management, or Business Administration (preferred).
  • 8–12+ years’ experience in project coordination, site administration, or deputy project roles within oil & gas, EPC, or industrial projects.
  • Strong experience working in remote or field-based project environments, preferably in Iraq or the Middle East.
  • Proven exposure to manpower coordination, logistics, and site administration.
  • Strong proficiency in MS Office and basic project tracking tools.
